This Privacy Policy explains what personal data the Civic Linker platform (the "Platform") collects, why it is used, how it is protected and what rights users have. By using the Platform, you confirm that you have read this Policy.
Who processes your data
The controller of personal data is the administration of the Civic Linker Platform. Data is processed in accordance with the Law of Ukraine "On Personal Data Protection" and, where applicable, Regulation (EU) 2016/679 (GDPR).

What data we collect
Depending on how you use the Platform, we may process:
- account data – name, email address, password (stored only as a hash);
- organization or community profile data – name, contact persons, phone number, address, description of activities, logo, links to websites and social media;
- data you enter in your account – report answers, projects, vacancies, cooperation requests, uploaded files;
- enquiries – messages sent via contact forms and correspondence with support;
- newsletter subscription – email address;
- technical data – IP address, browser and device type, pages viewed, date and time of visits, cookies.
How we use your data
- registration, authentication and operation of personal accounts;
- displaying public profiles, projects, vacancies and analytics on the Platform;
- calculating indices and preparing analytical summaries;
- sending service messages: invitations, password resets, reminders about reporting deadlines;
- sending news if you have subscribed to the newsletter;
- handling enquiries and providing support;
- maintaining the security of the Platform and preventing abuse;
- analyzing traffic to improve the service.
Legal grounds for processing
We process data on the basis of your consent (for example, newsletter subscription), the need to provide you with the Platform’s services, compliance with legal obligations, and our legitimate interest in keeping the Platform secure and improving it. You may withdraw your consent at any time.
Public information
Information that organizations and communities enter in public profiles, projects and vacancies is visible to all visitors of the Platform. Do not enter data in these fields that should not be made public. Personal accounts and internal reporting data are available only to account owners and Platform administrators.
Sharing data with third parties
We do not sell personal data. Data may be shared only with:
- technical service providers that help operate the Platform (hosting, email delivery, analytics), under confidentiality obligations;
- public authorities – in cases and in the manner provided by law.
Cookies and analytics
The Platform uses cookies required for the site to work (session, interface language, form protection) as well as Google Analytics cookies to count visits and understand how users interact with the site. You can disable or delete cookies in your browser settings, but some features may become unavailable.
Retention period
We keep data while your account is active and as needed for the purposes described above, and after account deletion only for as long as required by law or necessary to protect the Platform’s rights. You can cancel the newsletter subscription at any time via the link in the email.
Data security
We apply organizational and technical safeguards: connection encryption (HTTPS), password hashing, access control and backups. No system can guarantee absolute security, so please keep your password secret and do not share access to your account with third parties.
Your rights
You have the right to:
- know what data about you we process and receive a copy of it;
- request correction of inaccurate data;
- request deletion of data or restriction of its processing;
- withdraw your consent to processing;
- object to processing based on legitimate interest;
- lodge a complaint with the Ukrainian Parliament Commissioner for Human Rights.

Changes to this Policy
We may update this Policy from time to time. The current version is always available on this page, and the date of the last update is shown at the top of the document. By continuing to use the Platform after changes, you accept the updated version.
